Accounts & Transactions

What do cleared and reconciled mean?

Confirm which transactions reached the bank, compare the cleared total with a statement, and lock a completed reconciliation.

StateMeaning
UnclearedThe transaction is in Pocketwatch, but you have not confirmed it against the bank or statement.
ClearedYou confirmed that the posted transaction appears at the financial institution.
ReconciledThe transaction was cleared when you completed a statement comparison. Its cleared state is now locked.

Mark transactions cleared

Use the cleared circle on a register row, the row Actions menu, or the selection bar. Clear all marks every posted, uncleared, non-reconciled row in that account. Future transactions do not enter either balance until they post.

The Working balance includes every posted transaction, whether cleared or not. The Cleared balance includes only posted rows you have cleared. The gap between them is the net of still-uncleared activity.

Reconcile an account

  1. Open the account and choose Reconcile.
  2. Enter the balance shown by the bank or statement. For a debt account, enter the positive amount you owe.
  3. Mark the statement's transactions cleared in the live register until Difference reaches $0.00.
  4. Choose Finish reconcile. Pocketwatch marks every cleared, not-yet-reconciled row as reconciled and records the completion time.
A zero difference is the clean finish. It means the sum of cleared Pocketwatch activity matches the institution without changing history.

Finish with an adjustment

If the difference is not zero, Finish and adjust creates a cleared Reconciliation Adjustment for exactly the remainder, updates the account balance, and then marks the cleared rows reconciled. Use it when the statement is authoritative and the missing history is not worth reconstructing.

If the difference is unexpected, cancel and look for an uncleared row, duplicate, wrong amount, or missing transaction before accepting an adjustment.
