How do I add, edit, or delete a transaction?
Record money spent or received, update a posted transaction, and safely remove an entry from an account register.
Add a transaction
- Open Accounts, choose the account, and select Add transaction.
- Enter the amount, then choose Spent or Received.
- Add the payee and choose a category. Pocketwatch can remember the category you last used with a payee.
- Add any optional details you need: a tag, notes, date, cleared status, or repeating schedule. A receipt can also be attached when receipt tools are available.
- Select Save, or use Save & add another when you are entering a batch.
| Field | What it controls |
|---|---|
| Spent / Received | Whether the amount lowers or raises this account balance. |
| Payee | Who paid you or who you paid. A payee is required for an ordinary transaction. |
| Category | The purpose this activity affects in your budget and reports. Received money can stay in Ready to Assign. |
| Cleared | Whether you have confirmed the transaction against your bank or statement. |
| Repeats | Creates a weekly, bi-weekly, monthly, quarterly, or annual schedule for future review. |
Edit an existing transaction
Select a row in the register to open it. Change the details and select Save changes. If you change the amount or move the date between the past and future, Pocketwatch adjusts the account balance by exactly the difference.
Delete a transaction
- Open the transaction's three-dot Actions menu, or select one or more rows to open the selection bar.
- Choose Delete and confirm the removal.
- Pocketwatch removes the posted amount from the account balance. Deleting one side of a Pocketwatch transfer also removes its linked side.
The cash side of an investment trade is different: edit or delete the trade from Investments so the holding, lot, and cash movement stay together.
Future and repeating entries
A future-dated transaction stays pending and does not change the account balance until its date arrives. A repeating transaction creates upcoming occurrences for review. Approving an occurrence posts it; rejecting it removes that occurrence without moving money. See Reviewing transactions.
